Your role
We are seeking an experienced Executive Assistant (EA) to provide team support, based in Melbourne. Your days will be busy managing a diverse range of administration duties required to maintain efficiency, in a fast paced, corporate environment. This role will be accountable for driving the co-ordination of all administrative functions including diary management, email, travel and smaller events. In this role you will:

  • support a team of 10-12 (Managing Director to junior levels)
  • manage multiple complex calendars, ensuring that day-to-day priorities and changes are met and managed effectively
  • co-ordinate client meetings
  • arrange domestic and international travel
  • processing of monthly expenses
  • onboarding of new staff in your team
  • work with fellow EAs to strive for best practices across the department

Your team
You will be working in the Global Banking department as an Executive Assistant to a team of bankers. You will be playing an important role within your team, facilitating day-to-day operations, ensuring seamless communication regarding key administrative functions. In addition to supporting individual bankers, the EA will collaborate closely with a team of fellow Global Banking EAs to ensure consistent coverage and effective team operations across the group

Your expertise

  • previous EA experience supporting a team within a corporate and deadline driven environment
  • outstanding stakeholder management experience with the ability to liaise, interact, and communicate effectively with stakeholders, senior and executive management
  • ability and passion for working in a team environment
  • strong technical ability and experience with (Microsoft Outlook, Word, PowerPoint, Excel and Teams) O365, OneDrive, video calls.
  • proactive, keen attention to detail, organised and able to seamlessly multitask and problem solve
  • proven written and verbal communication skills
  • discretion in handling highly sensitive or confidential matters.
  • flexible, adaptable, can-do attitude. Willingness to work within a broader EA team.
