We are currently looking for a dynamic and experienced CEO Management Assistant (M/W/X).
Mission:
We are seeking a highly organized and proactive CEO Management Assistant to support both CEOs of Sabena Engineering and Sabca in a dynamic aerospace environment. The ideal candidate will provide high-quality administrative support, facilitate communication across departments and with external organisations, as well as propose improvements to the management’s current way of working. This role requires excellent organizational skills, the ability to work in a fast-paced environment, a high level of integrity and full confidentiality, and a willingness to make a change.
Responsibilites:
1- Executive Support
- Maintain the CEO's calendar, schedule meetings, appointments, and travel arrangements, ensuring effective time management.
- Prepare and manage correspondence and other documents on behalf of the CEO.
- Act as a primary point of contact between the CEO and internal/external stakeholders.
2- Meeting and Event Management
- Organize and coordinate high-level meetings, including board meetings, executive committee meetings, and stakeholder events.
- Prepare agendas, distribute materials, and ensure all participants are informed of meeting details.
- Manage logistics for on-site and off-site events, including aerospace industry conferences and trade shows.
3- Communication and Liaison
- Serve as a communication bridge between the CEO and senior management, filtering and prioritizing information.
- Draft, proofread, and edit communications for internal and external stakeholders where required, ensuring a high level of professionalism and confidentiality.
- Build and maintain relationships with key industry contacts, clients, and partners on behalf of the CEO.
4- Administrative Management
- Oversee office management tasks such as managing expense reports, budgets, and vendor contracts related to the executive office.
- Handle sensitive and confidential information with discretion and integrity.
- Continuously improve processes to streamline workflows and optimize administrative efficiency.
5- The employee will be responsible for:
- Ensuring compliance with EN9100 quality standards and the ISO 14001 environmental standard.
- Sharing their skills and knowledge with new team members to foster a continuous learning environment and mutual support.
Profile:
- Education: Bachelor’s degree in Office management or equivalent.
- Experience: Minimum of 5 years of executive assistant experience, preferably (but not necessarily) in the aerospace or industrial environment.
- Technical Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Knowledge / Familiarity of SAP/S4Hana.
- Familiarity with project management software and CRM systems is an asset.
- Soft Skills:
- High proficiency in Dutch, French and English.
- Excellent communication skills, both verbal and written.
- Strong organizational and time-management abilities, with attention to detail.
- Ability to multitask, prioritize, and adapt in a fast-paced, high-stakes environment.
- Discretion and integrity in handling sensitive and confidential information.

- Industry Awareness: An understanding of aerospace industry regulations, safety protocols, and the competitive landscape.
