Our Sansar provides education, shelter and welfare to the most disadvantaged children in Nepal. To keep track of kids’ wellbeing and needs, they are now using Aam Digital’s case management software. Our Sansar combats poverty and abuse and child labour. With a children’s home, child rights initiatives and surveys of factories employing kids, to then organize support for the children and their families. This involves a lot of different data, from child labour cases to tuition class attendance, that the team needs to record and analyse in the field. Aam Digital provides them an easy-to-use app that the team can use both offline on smartphones in the field, as well as on a larger screen in the office. Having all the details in one system helps to organize reliable support for each case and provide transparency for their international colleagues in the UK. Aam Digital is a social-tech startup which provides easy-to-use software for the social sector to manage cases, inform project management and enable outcome measurement. Our open source case management software enables implementing organizations to digitally manage client files, reduce administrative workload and increase the sharing of information between frontline workers. The data generated by frontline workers is analyzed in dashboards to inform project management. Interfaces with cutting-edge M&E tools allow improved monitoring and evaluation through reliable field-level data. Within our Software-as-a-Service-Model, we provide a web-based solution, which requires no IT-Infrastructure besides a laptop and/or mobile phone. For organizations with additional requirements, we offer low-cost software customizations and consulting services.

Aam Digital is an easy-to-use software for NGOs to make their work with beneficiaries more effective and transparent. For example, our system helps social workers and teachers of an education support programme to easily manage all information about students’ development, attendance or health. That way staff can spend time working with people rather than doing paperwork, while our tools help them collaborate and keep an overview of progress and critical cases. This data also helps them evaluate the impact of their activities and show achievements to their donors. For programs that run several events with the same participants, tracking attendance quickly becomes a challenge. A spreadsheet works fine as a single participant list but combining multiple lists quickly gets messy. Names are spelled differently. Files get copied around. It’s time consuming to compile an overview for individual participants and trainers. And it’s very difficult to prevent double counting participants when reporting to funders. Aam Digital as an event management (or case management) platform is tailored to track participants’ over a longer program period, collecting all related data like attendance of events or also progress and evaluation details. After you record a new participant’s profile, Aam Digital automatically creates a unique id for that person. All events and other details are then reliably linked to that person. This allows you to get reports of events and participants automatically calculated, including how many different (unique) people you have reached with your program. If you need to, easily disaggregated by event types, demographics or any other details you track. Works will with an API integration to monitor log frame indicators in @TolaData, also!

Her Future Coalition (HFC) provides education and holistic support to survivors of sexual violence and girls at risk. For their work they are now using Aam Digital’s case management platform to digitally track beneficiary data. HFC works in India and Nepal, supporting vulnerable girls with various programs, from shelter to education and job training. Aam Digital [@Tag Aam Digital LinkedIn] helps them manage the details of vocational training participants and the activities their partners provide them. Exactly the use case for which we initially designed our software and they have been excited how quickly they were able to record all the related data. "Digital Public Goods" are gaining now and more attention as open, impact-focused solutions for government and the social sector. Our co-founder Sebastian Leidig shared insights from Aam Digital 's work, building upon our open source platform with experts in India last week.
🌟 On August 13, 2024, We organized the first regional workshop on Digital Public Goods (DPGs)- "Building a Digital Future for Healthcare with Digital Public Goods: 1st Regional Workshop - Punjab" at Indian Institute of Technology, Ropar , in collaboration with Postgraduate Institute of Medical Education and Research (PGIMER), Chandigarh and the Department of Health & Family Welfare, Government Of Punjab. This event marked a pivotal moment where program officers from Punjab, public health experts, IT specialists, DPG platform providers, and civil society came together for an inspiring day of collaboration, knowledge exchange, and innovation. In my role as a #PGGF, I had the privilege of being intricately involved in the planning, management, and coordination of this workshop from its inception, working closely with the dedicated teams at PGIMER and IIT-Ropar. This experience was profoundly enriching and contributed significantly to our shared mission of advancing sustainability in public health. Tracking various details of a social project needs both flexibility (to respect the individual context of each case) and standardization (to keep an overview and be able to evaluate). Technology can certainly not solve that tension. But we make it as easy as possible in our case management software to record things consistently. Dropdown category fields give your project team clear guidance on what to track and allow you to calculate reports in a quantifiable way even for information that cannot be put into a single number. But users (with the required system permissions) can also adjust and add new options in the workflow and tweak the system to fit the actual work.

We are excited to continue our work on codo, the mentoring management platform by BürgerStiftung Hamburg and Stiftung Bürgermut. We have co-developed this system with them, building upon our Open Source platform Aam Digital. “codo” helps small and medium size NGOs running mentoring projects. Project coordinators can record mentee and mentor details in the system, find & match mentoring relationships and document the various processes and interactions that the organization does to ensure they are supporting people following high quality standards. Reports to funders can then also get generated automatically. A new pilot group of NGOs in Germany is now starting to use the platform, while we continue to build and improve the software together. Many social impact projects have different program parts and partners supporting people together to create a holistic impact. Data with complex relationships like that becomes very hard to document in a simple spreadsheet. This challenge was actually one of the starting points for us to build Aam Digital as a case management software. In a dedicated case management platform like Aam Digital you can not only manage beneficiary profiles with their personal data but also record relationships between records. For example, with our special feature you can link a student to the school she is enrolled in - and add details like the grade to that relationship. But these relationships can also represent members of a support program you run, a partner someone works with, or something completely different. In Aam Digital such relationships can also have a time period. If you define a start and end date, the system automatically detects if this relationship is currently active. With this, you can for example list active members of a program automatically - and still keep all historic records of people who have previously been part of that program.

It was our pleasure to be hosted by the Federal Ministry for Economic Cooperation and Development (BMZ) at their Berlin headquarters to once again showcase TolaData. Malte Höpfner and Rosina Saß had the chance to present a suite of new features we'd developed since our last meeting in 2022, including our comprehensive standard indicator library, an enhanced data approval feature, and a seamlessly integrated system for M&E with event and case management, developed in collaboration with Aam Digital.
