Value propositions can get lost in the sauce. One example is when my video production business highlighted the care we take in cleaning and staging client areas (like facility signs, community park areas, etc.) prior to shooting. A few times, evaluators questioned this approach and wondered why wiping off signs really matters - "And doesn't everyone do this?" The answer is definitely not. Most companies send a camera person out for b-roll and simply ask for the footage later. Make sure evaluators know what the current practice is prior to dropping your value bombshell! Repeat why it matters.

I use this tactic every time now: After writing a clean, high-level cover letter (make sure it's only one page unless told otherwise), I construct something I like to call "Executive Responses to Each Area of Concern" in Google Docs with very minimal formatting/attention to style. Concise plain text with headers and the brand colors only. I place this document immediately after the signed cover letter. After this section, then I provide the standard materials.

On the topic of expressing willingness, this goes both ways. As a vendor, you also want to think (or hope) that the purchaser is eager, excited to start with something billable soon, and most importantly: AMBITIOUS. It is such a breath of fresh air when a purchaser is ambitious. These are the right people to have in your CMS. Agreements with these types will likely foster other business in the future, which makes the whole RFP process worth it.

Adding a personal touch can make your RFP response more relatable and memorable. As a Solution Architect, I personalize the proposal by addressing the client's specific concerns and including anecdotes or examples that resonate with them. Sometimes following up with a new client letter of commendation or testimonial works, especially if it's relevant. Reminders are not evaluated, remember, but material supplements and answers to questions may be considered as part of the second phase/shortlisting. Because of this, anything that is written via email needs to be considered part of the evaluation.

When crafting your RFP response, it's crucial to differentiate yourself from competitors. Forget jargon and focus on empathy. While highlighting technical expertise is crucial, truly stand out by demonstrating a deep understanding of the client's unique challenges and goals. Anticipate their pain points beyond what's explicitly stated in the RFP. Express how your solution directly addresses their unspoken frustrations and offers a path towards achieving their desired outcomes. This emotional connection resonates more than just technical prowess, showcasing your commitment to being a true partner, not just a vendor.

Think about your customer - if they have 7 RFP responses and each is 50 pages long - that’s 350 pages they need to read through. Are they going to remember yours? What’s going to make them remember yours? Reading multiple response is difficult and time consuming - and reading response that all say the same thing but with different words is mind-numbing. Stand out at all costs.
