HR ops: Experience(years)4 – 5y Location : Coimbatore Job Summary The HR Operations person is responsible for conducting all core HR activities from Pre-Onboarding to Exit, that covers all HR activities during the life cycle of the employee during their tenure. This would include Pre-Onboarding & Onboarding, Employee Record Keeping, Employee Data Management, time and attendance keeping and exit management. The role would ensure that HR Policies are refreshed and communicated to employees and also ensure that all HR activities are clearly documented through Standard Operating Procedures. The role will also ensure that employee queries are promptly responded to through the company’s HRMS or ticketing system. Job Description Pre-Onboarding and Onboarding Execution • Collaborate with the Recruitment Team to prepare for new hires' arrival and Serve as the primary point of contact for new employees during the onboarding phase. • Ensure all pre-employment paperwork is completed, including joining documents, statutory forms, and background check requirements. • Verify the new hire accounts in HRIS and communicate with IT and Admin Teams to allocate Systems and workstations. • Organize and deliver orientation programs to introduce new hires to the company culture, policies, and procedures. Documentation & Compliance • Maintain accurate records of onboarding activities and employee files. • Ensure compliance with labour laws, company policies, and confidentiality standards. • Audit onboarding steps to maintain alignment with organisation goals. • Assess the needs of new hires and develop onboarding plans that meet the requirements. • Prepare personnel physical files with relevant documents & letters for all new joiners • Ensuring all relevant back papers, letters, employment contracts & documents are scanned and filed in the respective employee files for existing employees • Managing and updating relevant documents on HRMS Orientation and Induction • Orient new employees to the company’s policies and procedures. • Establish and maintain relationships with new hires to ensure a smooth organisational transition. Reports • Develop and maintain onboarding materials, such as job descriptions, employee handbooks, and other relevant documents. • Manage the onboarding process from start to finish, including scheduling, tracking, and reporting. • Prepare and present onboarding reports to the stakeholders.
