How can you create a safe space for team members to share their vulnerabilities?

One of the things most important is to build trust with your mentees even before one expects them to be vulnerable. The mentors need to earn the trust of their mentees first so as to make the mentees confident enough to be vulnerable in their presence.

Sharing your vulnerabilities shows you are able to recognize them and are willing to work on them. Being a transparent honest human being makes you a person that's easier to collaborate with, that you can relate to, because we all have our own vulnerabilities no matter the experience we have. Having such a culture in a team helps connect the people and build good relationships.

It's a great start to clearly state how you want the team to interact and why. Then, proactively facilitating team conversations, balancing individuals to ensure everyone talks and can be heard. The more you practice with your team, the faster they will adopt the new model.

It takes a lot of courage for an individual to come forward and share their vulnerabilities as things might change against anyone . Creating grievance redressal mechanism within the organisation with clear goals and communication will encourage people to come forward. Few important steps are 1)Showing empathy - Telling an individual or showing confidence stating yes we are here for you and we understand you and wont judge. 2) Creating a Trust environment - Maintaining confidentiality,if needed 3)Taking timely actions - Taking correct and timely action and communicating the same. 4)Follow thru - Rechecking on things,ensuring same situation is not repeated.

Adding to the construct outlined - I found in teams where great psychological safety is established and flourishing - that the twin entities of empathy and authentic leadership are prevalent. I posit that having and exhibiting genuine empathy to be extremely resonate. In my experience, combining this with authentic leadership based on purpose, honesty, care, and due diligence will garner the follow up and through as highlighted.

There is no safe space in corporate America. Your colleagues are not bad people but they cannot seriously be expected to keep information confidential. Keep it professional.

In my experience to provide additional comfort and flexibility during vulnerability sessions, leaders can establish a signal or a word that team members can use when they feel uncomfortable or need to take a break from the discussion. This signal or word can serve as a non-verbal cue that others understand and respect the need for a brief respite. By implementing these ground rules, leaders can create an environment where team members feel comfortable sharing vulnerabilities without fear of judgment or retribution. This open and honest communication can foster trust, collaboration, and personal growth within teams, ultimately leading to increased productivity and success.

The ground rules to have a culture where team members share their vulnerabilities can be as follows: - Be honest and open in sharing your views. At the same time, be respectful and cautious when giving feedback. - Encourage feedback culture and constructive criticism. - Don’t judge people, rather differentiate between your perspectives and the facts, try to understand the perspective of another person. - Be humble and practice active listening. - Give team members time and space to reflect and gain trust.

Leading by example is very essential in this aspect of creating space for sharing vulnerabilities. Being aggressive and stern is viewed by many as one of the essential qualities of a leader and when a leader exposes her/his vulnerability, many a times it is often looked down upon and criticized. On the contrary, the most essential quality of a leader is to earn the trust of her/his team/mentees. And when a leader gives space and time at an appropriate situation and specific instances to expose her/his vulnerability, she/he as a leader helps her/his team/mentees to experience the humane part of her/his character, which also aids significantly in building trust.

In any mentoring relationship, confidentiality and trust are paramount. They are non-negotiable. When a mentor shares a moment of vulnerability and trusts the mentee, they are exhibiting trust and what can happen when it’s shared.

In my experience, when people do not feel psychologically safe at work, they are less likely to speak up with ideas and concerns. This means their groups may miss out on important solutions or considerations. Therefore, creating an environment that welcome diversity, inclusion and belonging will enable people to share their experiences and feelings. They will feel safe because they are welcome and can thrive.

Avoid double standards. Workplaces need to be more inclusive and supportive of all employees, therefore symbolising support for a specific group should not lead to being marginalised. E.g. Freedom of speech shouldn't be restricted when it comes to Palestine. Managers should recognise the mental distress already placed upon people that are horrified by the treatment of the Palestinian people and offer a safe space and environment for employees, so as to not add to the already dire mental state of their workforce.

Empathy is the key to create a space for opening up . An empathetic leader displays compassion which helps the team member to open up and share . Adding to empathy the active listening skills will further encourage the team member to open up. Be empathetic and a good listener.

In other words, it is important to take the role of a coach by earning their trust and creating that space for them to be vulnerable and leading them through effective questioning to that "aha' moment.

Every open, respectful conversation is a gift. You should thank yourself and your team member for taking time for the talk and being honest and sharing their thoughts. Praise them and mean it. Appreciate it honestly and whole heartedly. It needs a lot of courage to share one’s vulnerabilities and the person is worth respect.

It's so important to check in with your team on a regular, consistent basis to create a safe space. Your team knowing you are there for them often, consistently, and without judgement is key to building a foundation of trust that allows vulnerability to follow. In addition to just "being there", you have to show with action how you are there to support them. Offer help when you can, provide guidance if appropriate, and if all else fails, let them know that you are genuinely there with a listening ear. If you choose to be a leader, be one who says what they mean, and does what they say - this goes a long way in fostering vulnerability while building safety, trust, and an unbeatable team dynamic.

If a leader wants to be successful they must do more than talk. Actions speak louder and teams respect leaders who do what they say. Thus following through is part of that process. Say what you will do and do what you will say and take care of your team.

By sticking to promises and checking in, we're not just building a team; we're creating a campfire community where trust, rapport, and loyalty burn bright.

It is important to follow up on a regular basis. Anual talks will not do the job. I implemented fixed quarterly meetings with short exchange in between.

The key to sharing vulnerabilities is a big task. So, what conditions must be set for this to be effective? Everybody needs needs to trust those they are sharing it with. People need to work together and have met each other and the closer they work with each other in the office, even better. This is not a Zoom task without a lot of working together in small teams and larger teams where some of the vulnerabilities will already be shared. The more people have met, worked together face-to-face and then remotely, the easier the vulnerabilities will be shared. If they are working already as a high performance team, they already know their vulnerabilities and I, as their supervisor, may not because it the team's business and their bond.

As leaders, we don't just follow up; we infuse our campfire commitment with extra spices and care. We go beyond the regular check-ins; we surprise our teammates with digital s'more kits, a sweet gesture to keep the camaraderie alive. The extra care we weave into our follow-ups is the secret sauce that makes our campfire community not just a workplace but a family.

Create a “hotline” where any employee can call in and ask to speak privately to one of three designated executives (from Sr mgmt,HR or Ops), then giving the employee an opp to talk to that person, without much delay.

Building psychological safety is foundational for mentees to be comfortable being vulnerable. Keeping empathy rooted in conversations, listening with intent and setting expectations that "it is okay to be vulnerable" allows them to trust mentors with their fears and apprehensions. Additionally, when mentors share their experiences of how vulnerabilities have shaped their own perspective allows mentees to comfortable with being uncomfortable before they open up to their mentors.

I think that one of the things that many leaders struggle with is that they're most of the times afraid of saying anything that might sound as a disagreement with the global corporate strategy. We all know that it's paramount for a leader to be able to motivate the team to go in the right direction, but if you sound like a parrot that's always repeating whatever comes from the official channels, it'll be almost impossible for your mentees or team members to trust you and be vulnerable in your conversations. Finding the right balance in exposing your personal views and even sometimes disagreeing with the official ones can be a powerful way of creating rapport and helping your team members viewing you as someone trustful.
