How can you create a data storage maintenance schedule?

Before creating a maintenance schedule, it's essential to understand your organization's data requirements. Determine the types of data you handle, its volume, and its criticality to your operations. For instance, in my previous role at a technology firm, we categorized data into customer information, product details, and financial records. This initial step sets the foundation for a targeted maintenance strategy.

First step in creating data storage maintenance schedule is to identify the storage needs in terms of access frequency, latency, type of data being stored, legal and compliance requirements. We can then determine the type of storage such as file systems, block store or object store and hardware requirements such as RAM for in-memory databases, SSD for frequently accessed data and HDD. Nowadays having hybrid storage strategy using on-premise and one or more cloud data centre can ensure availability and redundancy. Create backup cycle with automatic storage and retention policies ensures disaster recovery and business continuity. We need to strike a balance between cost and metrics such as resilience, availability and fault-tolerance.

Relational databases: These are structured databases that store data in tables with predefined schemas. Examples include MySQL, PostgreSQL, and Oracle. NoSQL databases: These databases are designed for unstructured or semi-structured data and provide flexible schemas. Examples include MongoDB, Cassandra, and Redis.

We conducted quarterly assessments to track data growth and ensure our storage infrastructure could handle increased demands. This proactive approach helped us avoid unexpected capacity issues and potential downtime.

Another important aspect is to assess the current and future storage requirements including live data and backups. In the past, we would have to assess the growth rate of data precisely in order to plan and purchase hardware for storage. Nowadays. with cloud computing, the storage capability building is few clicks away however estimating current and future storage needs can help us reduce the cost in terms of purchasing ideal storage plans from cloud providers.

Imagine a growing SaaS company, assessing data capacity means predicting user base expansion and feature additions. Proactive planning involves continuously monitoring server space and anticipating spikes in demand during feature launches. This ensures uninterrupted service for users while maintaining efficient resource usage.

The capacity of data storage systems can be scaled up or down based on requirements. Here are a few considerations for assessing data storage capacity: Storage solution: Different storage solutions have varying capacities. For example, a relational database may have a certain limit on the amount of data it can store, while a distributed file system or object storage can scale to handle petabytes of data. Scalability: Some storage solutions offer horizontal scalability, allowing you to add more servers or nodes to increase the overall storage capacity. Distributed systems like Hadoop or cloud-based storage platforms often provide this scalability.

We implemented a policy specifying that customer data older than five years would be archived. This not only ensured compliance with data protection regulations but also streamlined storage management.

Identifying and labelling the criticality level of data can help us come up with optimal storage policies best suited in terms of availability, latency, backup and recovery. We can automatically move data between various tiers of storage that can save us cost while keeping data available and accessible in agreed upon latency. Adding retention date can ensure availability of data for legal and compliance requirement and automatic deletion of data when no longer needed.

Invest in reliable storage solutions and tools that align with your organization's needs. During my time working with a financial institution, we integrated automated backup systems and redundancy measures to safeguard critical financial data.

Deploying data storage tools entails choosing a suitable solution (e.g., relational or NoSQL databases), installing, configuring, and securing it. For instance, when setting up a relational database like MySQL, one would create database instances, define tables, and configure user permissions. Security measures, such as encryption and access controls, are implemented to safeguard data. Backup procedures, like automated backups and recovery mechanisms, are established. Monitoring and optimization, illustrated by setting up indexes for efficient querying, are essential. After thorough testing and integration with applications, continuous monitoring and periodic security audits ensure a robust and well-maintained data storage infrastructure.

Important to understand: df: For example, if you want to monitor how much disk space is being used on your data storage devices, you can use the df command. du: This stands for “disk usage”. It’s another command-line tool used to estimate file and directory space usage. For instance, if you want to check how much space a specific file or directory is taking up, you can use the du command. iotop: This is a command-line tool that monitors disk I/O usage and allows you to view the I/O bandwidth read and written by each process/thread on your system in real time. rsync: This is a utility for efficiently transferring and synchronizing files across computer systems. It’s often used for backups and mirroring.

Identify relevant metrics: Determine the key metrics that align with your monitoring objectives. For example, if monitoring storage capacity, metrics like total storage used, available storage, and growth rate would be relevant. If monitoring performance, metrics like response time, throughput, and I/O operations per second (IOPS) may be important. Set up monitoring tools: Select appropriate monitoring tools that support the data storage technology you are using. These tools can range from built-in monitoring features provided by the storage solution itself to third-party monitoring platforms. Configure the tools to collect the desired metrics and set up alerts for critical thresholds or anomalies.

Develop a regular maintenance schedule outlining tasks such as data backups, system updates, and storage optimization. In my previous role, we scheduled weekly backups and monthly storage audits to identify and address any potential issues promptly. This consistent routine enhanced our system reliability and data availability.

Organizing data storage tasks involves thoughtful planning. Ensure regular data backups, periodic cleaning to remove outdated information, and scheduled index maintenance for optimal query performance. Conduct routine security audits, adhere to compliance checks, and set up continuous monitoring with alerts. Plan software updates during designated maintenance windows and routinely assess storage capacity. Schedule data migration during low-traffic periods and maintain clear documentation of changes. Facilitate team training sessions, routine disaster recovery drills, and periodic performance reviews. Arrange collaborative meetings and allocate time for ongoing improvements to maintain an effective and efficient data storage infrastructure.

Set up proactive alerts: Configure alerts based on predefined thresholds or anomaly detection algorithms to notify you when certain metrics exceed acceptable limits or when unusual behavior is detected. This helps you take immediate action before any significant issues occur. Regularly review and analyze metrics: Continuously monitor and review the collected metrics to identify trends, patterns, and anomalies. This can be done through real-time dashboards or periodic analysis of collected data. Look for any deviations from expected behavior or performance issues that require attention.

Since AWS S3 has become the popular choice for storage these days due to its durability, availability, cost-effectiveness and the rich features it offers. Hence organizations have built their entire datalakes on S3 itself. S3 has great feature to move cold/warm data in to lower storage classes. But still it become cumbersome to effectively manage a datalake as ALL the data is there in the single bucket and need to have different life cycle and retention criteria. Life Cycle rules alone does not give enough flexibility to move selective data based on different criteria but when you add Tags on to the objects and create custom rules (via lambda etc), you can have full control on each object retention.

To optimize data storage operations, it is imperative to keep a tab on the performance of the maintenance activities. Some useful methods include: 1) Regularly monitor the maintenance schedule time load for conflicts with other critical operations. 2) Recovery turnaround time: What is the avg TAT for any restoration operations? 3) Capacity Review: The capacity allocated to maintenance need to keep up with the organic growth of the data in the system. 4) Review the maintained objects/processes on cadence and remove activities that has lost its relevance (like a table that no longer satisfies the backup criteria). 5) Assess the Mean Time Between Failures (MTBF) or Mean Time To Failure (MTTF) for long-term reliability.

By implementing appropriate data storage and access policies, organisations can effectively manage,protect and govern their datasets. By using azure active directory, sas tokens data access can be provided in controlled manner leading to good data governance implementation.

If you are storing your data in some cloud provider such as AWS or GCP consider creating storage policies to move your unread data between tiers after some time window. For example, you can create a storage rule in Azure to keep data accessed 180 days ago as “cold” which increase read time in the next access but is cheaper than “hot” data. If you are dealing with a lot of data this policies means thousands of money being saved monthly.

Create a data storage maintenance schedule in data engineering by outlining routine tasks like backups, integrity checks, and security audits. Align the schedule with data usage patterns, including updates, patches, and capacity assessments. Implement a systematic approach for archiving and purging. Communicate schedules to stakeholders, incorporate contingency plans, and regularly review and adjust based on evolving needs and priorities. This ensures the ongoing efficiency and resilience of the data storage environment.

Automation of data storage and maintenance using a hybrid storage infrastructure with on-premise data centre for storage of critical and proprietary data along with multi-cloud storage for scalability, reliability and data locality. Automating the storage, backup and retention along with monitoring the activities for periodic fine-tuning can help.
