How can you use paraphrasing to summarize a client's concerns?

Paraphrasing is a foundational technique used by a certified career services provider (US) or registered career development professional (UK) that helps to build trust, rapport and momentum with the client. As the client is telling their story, the careers professional may briefly, concisely, carefully, selectively and sensitively repeat back their understanding. Used skillfully, paraphrasing keeps the conversation moving enabling the client to hear their thought processes, clarify and deepen understanding, confirm and sometimes achieve breakthrough thinking regarding their career related issue or concern.

Paraphrasing is a technique to gain confidence of the client that you are genuinely hearing each of the points they are speaking and your attention to detail is on point. You should first try to find the pain points in their conversation and speak then first in your summary to get them in your comfort zone. Try to paraphrase the conversation in either a story form or pointers form.

Paraphrasing allow for acceptance and empathy. It is an excellent way of letting clients know that you are 'present' and concerned to see things from their perspective.

Paraphrasing allows you to summarize a client's concern by rephrasing their words in a concise manner. Reflect on the client's statements and express the main points in your own words, ensuring accuracy. This not only demonstrates active listening but also enables the client to confirm their concerns, fostering a clearer and more collaborative dialogue.

Follow the 5 step process to paraphrase: 1- Start writing the pain points which the client spoke. 2- Now write the general information. 3- Create a pointer form summary, speak the pain points first so that the client feels that you understand the core. 4- Now, top them up with the general information so that they feel you give attention to details. 5- Now ask the client if you missed out on something, even if you feel you didn’t.

One of the keys I’ve found to paraphrasing is starting and ending with two key phrases. I generally start with “let me see if I understood you correctly…” I then paraphrase what they said and ask, “Did I get that right?” These bookends signal to the client I am about to paraphrase and then provide them with an opportunity to correct me when I’ve finished. I’ve found at times this needs to be a real time iterative motion but once the exchange is completed we leave the conversation with the same narrative.

Paraphrasing is as important for the professional providing services as it is for the client. One of the biggest barriers to building rapport is miscommunication. So paraphrasing is a great way to make sure you are hearing and understanding correctly what the person is saying. When done well it accomplishes that goal, but it also makes a person feel like they are being understood. We live in a world where lack of understanding and appreciation for others and their thoughts and feelings... Has become common place. If you want to genuinely be an asset, seek clarity and understanding when working to help others. If you want to be a better human, make it a part of all of your encounters with others.

Some examples from my past experiences: 1- If the client says, “I have no clue what to do in my career.” I say, “You have 3 interests, so have multiple options we need to get more sure of one” 2- If the client says, “I’m trying hard to find a good start but I just procrastinate” I say, “Procrastination happens when you don’t see the results and you have set really high expectations . Let’s try to start with an intention to improve and less focus on the final output”

A client told me that they had been let go from their most recent job. They were a manager of a small team. I asked some questions about the events leading up to the termination. It turns out the company changed a policy that crossed a line. She did not force her team to change their ways as it might be illegal. She started looking for a job and protected her team from write ups. She managed to do all of her team reviews before her last day. Now the story is that she hung in to the end to protect her team, giving them time to get out without having them do something illegal. It sounds better than saying I got fired....

Todo o processo seletivo gera ansiedade nos candidatos e quando o cliente já passou por uma situação ruim no trabalho e teve que sair de lá devido a má direção e gerência, ele simplesmente não pode falar dessa forma e como estava frustrado. Para isso, ele pode usar o termo “Infelizmente os meus valores e da empresa não estavam mais condizentes, por isso resolvi buscar novas oportunidades”

Je reformule toujours de cette manière "Si je comprends bien ce que vous me partagez, vivez, vous ... " et je complète avec les mots exprimés par mon / ma cliente.

Paraphrasing for Client Concern Summaries: 1. Reflective Rewording: - Paraphrase the client's concerns using reflective language. This technique involves rewording their statements to capture the essence, demonstrating active listening and understanding. 2. Condensed Summarization: - Condense the paraphrased statements into succinct summaries. This ensures clarity, allowing clients to recognize and validate their concerns while facilitating focused discussions on specific issues.

La paraphrase est une synthèse. Il est de bon ton de l'utiliser à la fin d'une longue explication ou d'une réponse complexe (dans laquelle de nombreux faits, éléments, explications, chiffres ont été partagés) pour conclure avant de passer au prochain sujet. Je ne paraphrase pas une réponse courte par exemple, ce qui n'apporterait aucune valeur à l'échange. Paraphraser permet ainsi de synthétiser, de vérifier que j'ai bien compris le propos avant de passer à la question suivante.

While paraphrasing it's absolutely ok to use few words or terminology which are utmost necessary to add even if the client has used it. Consider the level of language understanding of the client and use paraphrasing text or formation of sentences accordingly, otherwise client may find it difficult to grasp. The goal shoul be clear communication and all rules of communication applies while paraphrasing also.

It's good to use analogies to help clients/customers more readily relate to problems which may occasionally confront their business or organization... BUT - Beware of the "analogy pitfalls"... sometimes the analogy that you're familiar with and know so well, that same analogy may be like speaking a foreign language to the client! Tread cautiously.

Two mistakes I see often with paraphrasing, whether teaching counselors or clients - 1) Using a tone that can feel arrogant to the speaker - implying that you are paraphrasing correctly - when you might not be - and leaving no room for the speaker to correct your paraphrase. 2) Letting the speaker go too long and losing important pieces of the speaker's message. This is the only time it is effective to interrupt - "may I pause you for a second to make sure I'm understanding correctly...it sounds like you are thinking...." The key is to NEVER add your own thoughts. When we interrupt only to paraphrase with genuine desire to maintain clarity of understanding, that feels affirming and validating to the speaker.

It also encourages adaptability as you encounter diverse viewpoints, contributing to a well-rounded skill set for effective career counseling.

Here are 5 ways to practice your paraphrasing skills: Read and summarize: Read a passage and write a summary of it in your own words. Change the structure: Take a sentence from a text and restructure it in a different way while retaining the original meaning. Use synonyms: This will help you to expand your vocabulary and to rephrase the text in a more interesting way. Compare and contrast: Take two texts on the same topic and compare and contrast them. This will help you to identify similarities and differences between the texts and to rephrase them in your own words. Practice with tools: Use online paraphrasing tools to practice your skills. These tools can help you to rephrase a text quickly and accurately.

In my experience, role-playing has facilitated role playing exercises. I’ve also discovered that reverse role playing is equally effective because it puts the client in the interviewer position. The purpose of doing this is to present the point of view from which the interviewer operates. That perspective has proven successful for the client’s understanding of the overall process.

Practice listening to people and noting what they would say and how you would rephrase what they've said into your own words. Good paraphrasing is essentially a listening skill and listening is very important to develop as a counsellor.

Paraphrasing is an important aspect of effective communication skills. It creates a sense of understanding which is again an essential step to take the necessary action. In order to paraphrase well, you must choose the key words mentioned by the speaker, reflect appropriate non-verbal cues and seek their feedback to check your own understanding of the overall content. This makes your paraphrasing easier and more effective.
