How do you use communication theories to lead and manage?

Communication styles theory comprises four types: 1. Assertive: Confidently express thoughts while respecting others. 2. Passive: Avoids conflict, often yielding to others. 3. Aggressive: Forceful, dismissive of others' views. 4. Passive-Aggressive: Indirectly conveys disagreement, often avoiding direct confrontation. Understanding these styles aids effective leadership and management.

Recognizing these styles among team members, clients, and stakeholders helps adapt communication approaches, fostering collaboration, conflict resolution, and successful communication within diverse contexts.

The goal of communication is to make sure that crucial pieces of information are effortlessly transferred between two or more distinct persons or groups. To ensure that the complete procedure is effective, it is crucial to comprehend the best communication strategy to use. Choosing the most effective style of communication in a work environment as a leader, involves sufficient emotional intelligence, contextual analysis, and stakeholder management. Additionally, it's a good idea to always rehearse our communication style in advance.

One thing i have learned a little late in life is that most communication is a form of negotiation. We all want to get ahead in our lives and we communicate to do so. Negotiating with your kids about their curfews or a deal on a used car. Hiring a new employee or trying to resolve an issue at the workspace. Same ball game. Either we can communicate aimlessly and from a place of ignorance and selfishness or we can understand our and others needs, adapt to the situation and meet them in a growth mindset conversation. Think first about the audience you are trying to reach, and about the intention behind it. The more tailored and targeted your communication, message, and style to your audience, the more likely and efficiently you will be able to reach them .

Communication Network Theory examines how information flows within groups or organizations. It identifies various network structures, like centralized (all communication through a central figure) or decentralized (many connections without a central hub). For example, in a team, a centralized network would involve all communication going through the team leader. Tips for using this theory: 1. Understand your organization's communication structure. 2. Adapt your role and style to facilitate effective information flow. 3. Promote open and transparent communication within your network, regardless of its structure.

Know thy organization and how the flow has always been working. This is your low-hanging fruit that requires the least amount of effort and convincing. This said, as a Leader, your job is also to create new and efficient ways to communicate without going through unnecessary hoops (that are sometimes more an ego status thing than useful).

Apply if an informal network looks profitable in the context of use; if a hybrid or semi-formal is best, follow suit; just be aware of how your strategy will affect the situation.

Communication Climate Theory focuses on the emotional tone and overall atmosphere of interpersonal interactions. It examines how communication can create a positive or negative climate. For example, in a workplace, open and respectful dialogue fosters a positive climate, while hostility or indifference creates a negative one. Tips for using this theory: 1. Promote active listening and empathy to create a positive environment. 2. Encourage constructive feedback and open discussions. 3. Avoid defensive or hostile responses, as they can hinder a positive communication climate.

Create an environment of safety for yourself and for others, to be able to share and give feedback, without it ever being used against them. Communication is a natural and innate skill. It is also a wonderful accelerator to create visibility, trust and support.

Presenting information is one example, while questions are an opposing way to allow someone to teach themselves. Style is secondary. Good communication is less about creating and controlling the look and feel. The primary gives attention to the most effective approach for someone to pass and receive their message. Having the ability to present clear ideas or to draw understanding by inquiry are some of the best approaches to communicate with clarity.

Communication is opportunity to build authentic relationships, with any interaction it is important to recognize what message you are needing to deliver, who is receiving the message, and how you are adding value to the conversation. Creating great communication for me is understanding my audience, identifying with their needs, and recognizing where to "meet them".

As a leader, it's important to ensure that feedback loops are not just top-down but also bottom-up. Open-door policies, weekly check-ins, or even just an approachable demeanor can help nurture this feedback ecosystem. When you encourage two-way communication, you not only disseminate information effectively but also promote an environment where every voice is heard.
