If I am involved in hiring a new hire, talking with my team or just a co worker one of the main things I stress is the PTO. Looking at it through the lens of total rewards. Your PTO is APART of your total Compensation package. You not using it is like you not using a company sponsored 401k match. They are benefits for you to par-take in. Now, following the proper process to submit can change group to group (depending on busy seasons of work). But, you should be able to enjoy a benefit that was given to you.

The right culture is necessary to encourage your team members to use their vacation days and return recharged, refreshed, and ready for bigger things. Especially in the US, there is a lot of pressure to not take PTO or even be available during approved PTO time. To combat this, it is important for everyone in the organization to buy into the notion of fully disconnecting while on PTO and following through. Once everyone does it and it becomes ingrained in the culture, it frees up everyone from feeling bad for taking PTO or being pressured into still being available during that time. This can take the form of being open to discussing PTO timings, work coverage for that period, and supporting others who want to take PTO.

All of my bosses made a work environment of take care of life and the work will be here. Now, I take on that same philosophy. There is too many things that can happen for you to be stuck at the office and not be able to attend to it. I think this only works if: 1/ Communicate clear expectations of how and when work should be finished 2/ Having a plan of coverage in case certain people are out 3/ Not abusing the trust of the team, not just the manager. Once you make a good culture. the team cares about it more than the manager I would argue

The overall idea here is to encourage employees/team members to use their vacation days, but if you see that doesn't happen, you should plan to solicit feedback from them. Taking feedback directly from your team members will help you revisit the vacation policy and make the necessary tweaks (wherever needed) to ensure everyone is able to enjoy its benefits. If your team members aren't able to reap the benefits of the policy, then policy enforcement is simply for the sake of it and doesn't serve any purpose at all. When you seek feedback, share the action items with your team members and involve them in the whole process so they feel involved and part of the change rather than the ones at the receiving end of management's plans.

Make sure to ask employees often about their vacations and if there's anything stopping them from taking time off. Use what they say to fix any problems and make the vacation policy better.

When we remember to celebrate our people's time off, they feel a lot more respected, appreciated, and recognized. And as an organization/team lead, you need happy employees to progress the business. When a team member takes time off, you can send a card, gift, or a simple message to let him/her know that you want him/her to disconnect entirely and enjoy the time off. Upon the team member's return, spend time learning about their time off experiences, hearing stories, and being genuinely interested. Don't even think of being fake, as non-genuine emotions can be spotted from miles away, and you will never be able to build trust and rapport with the team member.

Say thank you to workers who use their vacation days by celebrating their time off. You can send them good wishes when they leave, recognize their hard work when they come back, or have a party with the team to greet them when they return.
