Let’s talk about a challenge many of us know too well: making in-house training happen. When it comes down to it, there’s a whole juggling act between the trainer’s availability and the client’s schedule. Coordinating these two elements can feel like trying to land a plane on a moving runway! ⋆˙⟡ — Trainer’s Schedule: Experts are in high demand and their calendars? Jam-packed! Getting that ideal date where they’re available and ready to dive into your team’s needs isn’t always simple. ⋆˙⟡ — Client’s Schedule: Meanwhile, clients are also working within tight timelines, upcoming projects and team availability. Finding that common window when everyone is free, focused and ready for training? A rare moment of harmony. But when it works, it’s totally worth it! So a training request process has been completed. You have identified the training, gotten trainer, date, venue... What do you do next? 1. Send a notification to the supervisors of the participants, letting them know about the training their team member is going for, why they are going for it, objectives of the training and all details of the schedule. Also include what you require from them 2. Send an initial notification to the participants coping their supervisors, letting them know about the training, why they have been nominated, how the training and lessons to be learnt are relevant to them and the business, and the schedule of the training 3. Send a calendar invite to block their calendar after (2), reiterating some of the things in (2) and request that they accept the invite to block their calendar 4. Send pre-training materials, guide to complete them and due date of submission/completion 5. Send periodic reminders to participants 6. Send joining instructions- another reminder with information about how they access the venue, dresscode if required etc. Now you will all agree that these can be sent in just 2 emails - 1,2,3,4,6 can be sent as one mail and 5 be the reminders, but then, there wont be as many engagement as possible to reinforce the need for the training, provide opportunities for questions and to be in the faces of the participants.
