LMS/LXP set up Technical jargon explained

The goal of this article is to help those people new to learning technologies understand some of the key technical jargon that is standard for all LMS/LXP set ups. The reality is we see a lot of clients trying to get their LMS/LXP and they are not aware of the information they need to ensure their platform is as automated as possible on the admin side. Over the next couple of weeks i will publishing a range of these articles which I hope are useful...as there is no doubt set up can be stressful if your not used the jargon!


In this article I will cover:-

  • What user provisioning or account provisioning means
  • What a unique identifier is and why they are so important in account provisioning
  • What an API is and how Apis can be used to automate account provisioning


So lets start with User or account provisioning


User or account provisioning is an essential part of any Learning Management System (LMS) or Learning Experience Platform (LXP). It is the process of providing access to a user or an enterprise client to the system’s features and capabilities. 


User or account provisioning can be done manually by the administrator or through automated processes. Manual provisioning requires the administrator to create a user account with the necessary permissions and access rights. Automated provisioning can be done using software or through an API.


For enterprise clients, provisioning is an important part of any LMS or LXP implementation. It ensures that the organisation’s users have the right access to the system’s features and capabilities.


In order to provision a user or an enterprise client, the administrator must first define the user group or user role. This will determine the user’s access rights and privileges. Once the user group or user role is defined, the administrator can assign different modules, courses, and other resources to the user. For example, a user group can be assigned a set of courses, while an enterprise client can have access to the entire system.


When provisioning a user, the administrator must also define the user’s access rights and privileges. This includes what modules and courses the user can access, as well as other features such as grading, quizzes, or surveys.

The importance of a Unique Identifier

These identifiers are unique codes that usually come from a payroll, HR are ID management product within the organisation. They are uniquely assigned and allow for the automation of account creation, the archiving, reviving (after a maternity leave for example)) and ultimate deletion. A UID allow learner records to be managed to avoid duplications that will arise if emails or user names are used.  


Unique identifiers also help to ensure data security and privacy. When assigned to each user account, this identifier helps to guarantee that only the intended user has access to the account. It also allows the LMS or LXP to track user activity and monitor user access.


Unique identifiers are also important for the overall user experience within an LMS or LXP. By assigning unique identifiers to each user, the system can recognise each user and provide personalised content. This can ensure that the user is receiving the content and support materials that are most relevant to them. Additionally, it can help to decrease the amount of time and effort required to manage user accounts, as it eliminates the need to manually input information.


In conclusion, unique identifiers are an essential component of account provisioning within an LMS or LXP. They enable enterprise clients to track and manage user accounts and access privileges, as well as to ensure data security and privacy. They also help to provide a better user experience by providing personalised content and support materials that are tailored to each user.


Using API´s to provision my LMS / LXP


An API, or Application Programming Interface, is a set of protocols, routines, and tools used to enable two software applications to talk to one another. It allows developers to create solutions that allow different applications to interact and share data with each other.


For enterprise clients, APIs can be used to automate account provisioning within an LMS or LXP. An API enables developers to create the necessary connections between two applications, allowing them to automatically provision new accounts within the system. This eliminates the need for manual processes and ensures that all accounts are updated in a timely manner.


Using APIs to automate account provisioning within an LMS or LXP can save time and money, as it eliminates the need for manual processes. This can also reduce the potential for errors, as the system is able to detect and process changes automatically. Additionally, it can help increase the accuracy of data stored in the system, as it eliminates the possibility of manual mistakes.

All modern LMS´s and LXP´s will come with a suite of API´s. These Apis will cover the sharing of data to provision accounts and provision content and the pushing back of learner records to data visualisation tools.

Sounds like the unique ID (in this case) is applied to learners/people only. For LMS tools: Does each course have a UID? (And is that typically hidden or visible to learners?) Thanks!
