Three things NOT to delegate to a VA

It won’t be a surprise that I am a big fan of delegating.

BUT…there are three things that I do for myself (and I reckon you should too).

Here they are. :-)


Sales discussion

Yes, I still actually speak to all the business owners who are interested in getting a Virtual Assistant with us.

Don’t get me wrong, my team helps me with everything around the actual sales discussions, which is a huge support. All I have to do is rock up and have the chat.

The lovely Jonathan does all of this (so that I don’t have to):

- Monitoring my emails, LinkedIn messages, FT messages, every social media platform out there messages…

- Screen the leads to decide if we want to offer a meeting

- Sends them resources if they are not ready to meet

- Add the leads to our CRM, with all the information (e.g. what they wrote in their LinkedIn message) so when I do meet with them it is at my fingertips

- Go back and forth around a time to meet (this even happens with Calendly when people want to change times)

- Updates everything in my calendar and CRM

- Check in with the business owner if they have not accepted the meeting

- Follow up with the business owner if they do not come to the meeting

- Ensure that the leads get our nurture emails


Record Videos

When I am feeling pumped I grab out my selfie stick and record a 1 to 2 minute video sharing something of value (e.g. answering a commonly asked question). I then send it to my team.

They:

- Add captions (so that people can watch it without sound like on the toilet)

- Edit the video (so that people are engaged and watch for longer)

- Distribute it all over social media (eg LinkedIn, TikTok, Instagram, FB, YouTube).

- Save the files in a place that makes sense on the drive so that they can find it again to repost.

Fun fact: Last year there was a time that I didn’t record any new content for 3 months (I was feeling a bit low). But no one knew. My team just kept popping up existing content and the leads kept on rolling in.


Write marketing emails (like this one)

Yes it is me writing this. From my brain to my fingertips…sitting on my dining room table (because that is where I got the inspiration).

But, all I am going to do is write it. Nothing else.

The amazing Tin is the reason it will end up in your inbox. She will:

- Organise who to send it to (through complex tagging systems)

- Make sure that we will not trigger any spam filters

- Set up the AB test (optimise for open rates)

- Manage the email list, to minimise bounces

- Clean out the list of people who have not opened an email in 90 days (phew…you are safe)

- Check it is right to go, double check and then ask another team member to check

- Format the email so that it looks good (no one wants to see my plain text musings)

- Record the results of the AB testing so that we can use it to get insights into opening messages

- And I am sure that she will do other stuff that I don’t understand.


So there you have it.

Although I am the delegation queen, there are some things that I still do for myself. But I JUST do the thing, not all the stuff around it.

This allows me to dream up creative ideas that will support the business to grow and provide even more opportunities to amazing intelligent people in the Philippines (and the business owners they support).
