The Top 2 Questions Answered: How to Get Tasks Under Control

Over the past 20+ years, I’ve fielded thousands of questions from professionals about how to manage tasks more effectively in order to stay on top of them and get things done on time, by deadline, and not have to rush at the last minute to do it.

Today, I want to answer the Top Two Questions on this topic that are probably on your mind, too.

But before I get into those, I want to address one BIG misconception that SOME of you have about your to-do list.

If you believe that your “to-do list”—whether in a planner, a task app, or on their legal pad—is JUST for today, then it’s time to make a mindset shift. The world is moving too quickly for you to be focused ONLY on what you’re doing today.

This mindset shift is from focusing on a daily “to-do list” to an all-encompassing “task list” on a digital platform. This is a big shift for a lot of people, because it can seem overwhelming to include EVERYTHING you’re responsible from now into next year.

But it’s not. It actually brings clarity and relief. And hear me when I say this: If you don’t have 100% awareness of what you’re responsible for, you’re flying blind, which is risky.

If anything has “gotten away from you” in recent weeks, I’m speaking to you. You’re missing out on the clarity and control you could have of ALL of your tasks and the power to prioritize them accordingly in one master system.

The end result is a list structured to show you the tasks you need to do NOW as well as the ones that are waiting  patiently in the system, planned for future days.

1. How do I choose between digital tools and paper-based lists?

In this day and age, go digital. Period. There’s no other better, faster, or more accurate way to track and manage tasks than digitally.

Paper is the WORST method for managing things to do. Physical planners, like the Franklin Covey, is second worst.  There’s not enough space in this article for me to explain all the reasons why, but here’s a short list.

Paper to-do lists are…

  1. Incomplete: there’s no way to build an all-inclusive task list of everything you’re responsible for in the coming days, weeks, and months. (My clients have anywhere from 20 to 200 tasks on their task list, but they’re not all for today, this week, or this month.)
  2. Inaccurate: Not only is the list already NOT complete, but when priorities shift, there’s no easy way to reprioritize what you need to do in a clear, orderly, and sure-fire way. It’s highly unreliable. A paper tool will never be able to keep up with your ever-changing days.
  3. Hazardous: there can be more than one. They can get lost. They’re hard to read once you’ve crossed off to-dos. All of this means you’ll be scattered in thought and action, you’ll waste time, you’ll miss things, and you’ll be reactive in your day.
  4. Disconnected: The very nature of a paper tool means it won’t be connected or communicating with all of the other tools you use and sources of tasks in your day. This is a time-waster, too.
  5. Time consuming: One MORE way you’ll lose time is from writing and rewriting to-do lists.

 

2. How do I organize my to-do list to make it more effective?

Ready for another mindset shift? Rather than thinking your tasks need to be “organized,” focus instead on the “structure” of your digital task list—the one that includes everything you’re responsible for.

Use one that you can see on your big monitor at work and THEN synch it with your tablet and phone. It’s always easier to work on a big screen whenever you can.

In this new structure, you want to be focused on TWO things—and TWO THINGS ONLY—when building your task list: WHAT you’re going to do and WHEN. That’s it.

Will there be a prioritization method, too? Of course, but that’s a topic for another day. So, for now, just focus on these two elements. Everything else is just going to slow you down. (Read: all those bells, whistles, colors, and categories that the fancy apps provide are going to make your head spin, which is why you have probably walked away from so many and given up.)

The WHAT is the task you’re going to do: add details, be descriptive (hence the big monitor), and remember to make it a SMALL action step. This is NOT a project.

The WHEN is the date you plan to take action, given what you know right now. The WHEN is always the element that’s left OUT of the plan on paper, but THIS is what gives your task list it’s structure.

When you assign target dates of action, you’re automatically grouping tasks by action date. Do this for ALL of them. Yes. I said ALL of them. Take a little time to identify the first or next action step, and then the action date.

This one is in Microsoft Outlook, but you can do this anywhere. The trouble with some of the apps out there, however, are that they have structured their task screens in such a way that you CAN’T see very many tasks on one screen, which is a HUGE disadvantage.

What you want is the ability to compress all future days and ONLY view today—the tasks you said you wanted to do today—and that’s it. It looks like this…
