Become a Sought-After Podcast Guest

Every marketing strategy requires a plan, email marketing, launches, social media - you can’t success when you wing it. Podcast Guesting is no different. So in this episode I’m going to share the ultimate checklist to become a sought-after podcast guest that rocks the mic. I’ll touch upon equipment, assets and a marketing plan and more Let’s dive in.

You can’t simply show up on air, and hope the host asks you great questions and voila you are a great guest ready to receive new business from the episode.  

Like every marketing strategy - you need a plan before you get started, you need equipment, assets to get booked, assets for the host and a marketing plan - so this episode is your checklist to start podcast guesting or to up your game to get booked on better shows, be a guest that gets introduced to other amazing shows and gets better results. 

Here’s a checklist of assets every guest should have before they even think about pitching:

 

Quality Microphone:

Invest in a good-quality microphone. It doesn’t have to be expensive, it can simply plug into your computer in the USB port. There are two types of microphones and it helps to know the difference. I much prefer the Dynamic. 

Dynamic Microphones: Ideal for noisy or untreated spaces, dynamic mics are durable and less sensitive to background noise, making them perfect for most podcast setups.

Condenser Microphones: Best for quiet, soundproof environments, condenser mics capture rich, detailed audio but are more sensitive to ambient noise.

The microphone on your computer (or your webcam) is not enough. Be sure to position it close to your mouth for clear, rich audio, and test it before each recording! 

 

Quality Camera

Do not use the camera that comes with your laptop - trust me, you can tell the difference. A simple webcam like the Logitech brand. They plugin to the USB port, but make sure you look for HD 1080p at a minimum. 

Make sure it’s eye-level to avoid unflattering angles.

 

Check Your Lighting

A ring light or softbox lighting will make a big difference. Position the light in front of you to eliminate shadows.

Natural light works too—just face the window! Do not have a window behind you or a glaring halo above your head from an overhead light. 

 

Quiet Designated Space

I’ve had guests or been on shows where the door was open and you could hear what was going on in the house, or in the kitchen and cats meowing. It’s distracting. 

Choose a room with minimal echo. Use rugs, curtains, or even foam panels to dampen sound.

 

Know The Health Of Your Email List

The health of your email list and your processes for list hygiene matter! It can make or break your emails getting delivered to your prospects. If they don’t see your emails - you can’t get in front of your ideal clients. 

Opt-Outs - Get a report of those that have reported spam, and opted out of your emails. Delete those contacts. They are no use to you. You can’t email them. And if you do try to email them, or do so accidentally, you run the risk of your CRM tool closing your account. 

Hard Bounces - Look at those that are hard bounced. Do this weekly. Some email addresses may be a typo and simply need to be fixed and then resend the last email. If it’s a customer - you definitely want to verify and reach out in other ways to ensure you get the right email address. 

Unengaged - If some contact records haven’t opened emails or clicked anything or replied in 6 months or more - they are dead weight and it impacts the deliverability of your other emails to good leads.  Google for instance, looks at ‘do people open their emails from this provider’. If most of them do not - they think you aren’t reputable and will put your emails in the junk/promo folder.  And thus your contacts won’t even see your emails.  

Set up a re-engagement sequence once they become unengaged after 30 days for example - to try to get their attention and see if they do in fact want to stay on the list. 

There are other tactics to segment your list and give them unsubscribe options (ie I don’t want to receive these promo emails about xyz but I do want to stay on the list) - that will help minimize the opt outs. 

 

Formatting Tips To Prevent Spam

There are certain things that Google (for example) look for when deciding if an email should go into an inbox or junk/promo folder.  Here’s a short list of potential spam triggers.

Camel case subject lines - Ex  3 Ways To Get More Opens (it should be Here are 3 ways to get more opens - like a sentence) 

Images at the top -  If you have an image at the very top of the email, it can show some strange code, or not show the image.  Or even having too many images in the email itself can trigger it as spam

Using Trigger Words - We have to get creative here as words like ‘click here’, buy now, act fast, click this link, make money fast, guaranteed will be a red flag. 

Using a lot of outside links - using links like YouTube, Facebook and other outside links that are not on your domain can be triggering - but test it out. 


Stable Internet Connection

This sounds obvious but you’d be surprised… If it’s a virtual recording, ensure a strong connection. A wired Ethernet cable is your best friend here.

By setting up a professional-looking and sounding space, you’ll come across as polished and prepared—a guest hosts will want to invite back!


A Compelling Media One-Sheet

Your one-sheet is your professional podcast résumé. It should include:

  • A brief, captivating bio.
  • Your headshot.
  • Suggested topics and talking points.
  • Social media links and website.
  • Contact information.

Keep it visually appealing but not overloaded. Canva is a great tool to create one if you’re starting from scratch.


A Media Page With All Your Assets

To make it easy I recommend creating a webpage for your speaking or podcasting. Include

  • Your bio
  • Downloadable headshots
  • Downloadable One Sheet
  • Interview Topics
  • Interview Questions
  • Examples of past episodes or events you’ve spoken at for credibility
  • How to book you on their show

It’s so much easier giving a host ONE link with all the nitty gritty on it.  It makes their life easier and yours and makes you look professional. 


Professional Headshots

Hosts often create promotional graphics for their episodes. A blurry selfie won’t cut it, or a picture of you at a family reunion. You don’t need to invest in a professional photographer but make sure it’s professional, crisp, with good lighting and appropriate background. 


A Polished Bio

Your bio gives the host an idea of your expertise, your credentials and has the power to wow them to say yes to booking you on their show. 

Your bio is also often read by the host during the intro, and included in the show notes. Keep it concise, engaging, and focused on what makes you relevant to their audience. I think it’s a good idea to have a long version and a short version and even an elevator pitch. This way the host can choose which one to share in the episode and which one to add to the show notes.  

Thankfully, we now have AI to add prompts to make sure our bio shines. 


Signature Topics and Talking Points

These should be aligned with your expertise but also tailored to what their audience cares about. Include actionable insights or strategies you’ll share.

Interview Questions For Each Topic 

By providing questions, you can guide the conversation toward your expertise and core messages, ensuring the audience gets value while highlighting your knowledge and offerings.

It’ll also make the hosts job easier and ensure they ask compelling questions that position you as the expert. It creates a much more structured conversation that is aligned with your goals. 


A Tailored Pitch Template

No copy-pasting generic emails! Your pitch should include:

  • Why you admire the podcast or host.
  • How your expertise aligns with their audience.
  • A couple of episode ideas that would resonate with their listeners.

Or if you aren’t pitching yourself, hire a podcast booking agency or use podcast matchmaking sites like PodMatch. There are great resources and experts out there to be strategic and get you booked on the right shows. 


Audio or Video Samples

If you’ve been a guest on other podcasts or spoken publicly, include links to those. It gives hosts a taste of your speaking style and energy and helps them picture what it will be like to have you on their podcast. 


Website or Landing Page

Your online presence matters. Make sure your website is up-to-date and includes clear links to your work, free resources, or ways to connect.


Social Media Profiles

You don’t need to be everywhere, but your main platforms should be active and aligned with your brand. Hosts love guests who help amplify the show’s reach. Make it easy for the host to find you, connect with you and tag you when the show goes live. 


A Clear Call-to-Action

What’s the next step you want listeners to take after the episode? A free resource, a downloadable guide, or even just subscribing to your newsletter—it’s all about creating a connection. Be very clear about what you want the listener to do next. 


Promotion Plan

Do not wing it once a show goes live. Have a plan and checklist to ensure that you leverage and repurpose and promote every episode. 

Hosts appreciate guests who actively promote episodes. It demonstrates professionalism and increases the chances of being invited back or getting referrals to other podcasts.

It allows you to expand your reach, position you as a sought-after expert, increases credibility, authority and allows you to use the content to attract leads and clients (it’s great content after all)!

Track Results

If you don’t track the results, you can’t know what to change and improve results. Track what shows you pitch to be on, which ones you get booked on and when they go live. 

Then track your links and optins and calls, but also other opportunities it brings you.
