Administration Assistant - ICU

We are looking for a passionate and dedicated individual to join our Intensive Care Unit team. This is a full time permanent position, working 80 hours per fortnight, based within the Royal Melbourne Hospital Intensive Care Unit administration area (Level 5). This position plays a vital role in the day to day running of ICU administration and supporting key personnel within our team including the ICU Director and the Nurse Unit Manager.

Key Aspects Of This Role Include

  • Administration support, coordinate and manage MS Office 365 Outlook calendars for the ICU Director, NUM and Deputies as required
  • Provide successful administrative and secretarial support to the designated committees and work groups of the ICU
  • Accurately, prepare and manage the distribution of correspondence, reports, or presentations on behalf of the ICU Director and Nurse Unit Manager in a timely fashion
  • Direct general queries regarding RHM and ICU events for external and internal stakeholders
  • Assist with the organisation of events such as education workshops, as required by senior ICU medical and nursing staff
  • High level of competence in the use of standard office software, Microsoft Office 365
  • Manage the booking of meeting rooms
  • Coordination of payment of medical staff through RosterOn.

About You (Essential Requirements)

  • Previous experience as an Administrative Assistant in a busy medical department
  • Ability to work under pressure and priorities the workload
  • Advanced verbal and written communication skills – with demonstrated ability to take minutes and draft correspondence
  • Demonstrated ability to work autonomously and a team member
  • Knowledge of medical terminology highly desirable
