A great opportunity has become available for an Executive Assistant to take the driver’s seat in delivering high level strategic executive support and business administration to the office of the Executive General Manager, Compliance, Risk & Corporate Affairs and to the broader leadership team as required.
With a Hybrid split (Office/WFH), this role is based in Southbank, Victoria and is part of the Compliance, Risk & Corporate Affairs team.
This role will deliver real outcomes, including but not limited to:
- Understand and anticipate the needs of the Executive GM in order to effectively support and manage conflicting demands/schedule
- Manage calendar and emails, including diary commitments and meeting schedules, responding to emails promptly and liaising with stakeholders in a professional manner
- Coordinate executive communications, including drafting correspondence and other forms of communications, both internal and external
- Collate, prepare, review and/or format internal documents, including papers, reports, dashboards and presentations
- Procurement and purchasing support on accounts/invoice/PO’s
- Arrange catering and ad hoc support for business unit
- Manage travel, accommodation and expenses for executive and wider team when required
- Plan and organise events, meetings, conferences, training sessions, speaking engagements, etc
- Work closely with the broader EA team to share information, and support the business as a whole including providing back support and assistance when required
- Project Management and assist with special projects as needed
- Ensure compliance through actively engaging with stakeholders and maintaining awareness of relevant legislation, laws, regulations
You don’t need to check every box; however, we are looking for a good combination of:
- Demonstrated experience in an Executive Assistant role supporting Executives
- Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software, experience using SAP advantageous
- Strength with technology to schedule, run/manage and keep records of digital meetings and presentations
- Strong organisational, project management and problem-solving skills with impeccable multi- tasking abilities
- Specialised skills in executive support function including administration, observation, analysis, critical thinking, and the proven application of logic and discretion
- A continuous improvement mindset and business acumen to effectively support the Executive function
- A warm, friendly nature with well-rounded and professional communication and interpersonal skills, including the ability to develop relationships at all organisational levels and work well in a team environment
- Excellent time management skills with strong attention to detail
- Ability to manage competing priorities and resolve issues at pace
