The shape, size and layout of your event space, impact engagement. I recently worked at an event that was planned meticulously, the venue looked incredible, the service staff were excellent, the atmosphere was great and the food was delicious. What more could you want? Despite all of this - we almost lost the back half of the room when the activities on stage began. Now, hear me rightly. I'm not one to blame the tools, but I've played enough venues like this to spot the recurring issue and the common denominator. This is all to obvious as someone who stands on a stage most weeks of the year, but I'm also aware of this as an audience member. When I go to the theatre (as I do, regularly! I love it!), I always book a seat in the stalls where I can see the actor's faces. Whenever I've sat in the balcony, I've switched off pretty soon, even in the shows I know and love. Visibility is key to engagement. Your guests need to see more than just the lectern, the screen and the bodies of those upfront. As much as possible, they need to have eye contact. So here's my suggestion next time you come to choose a venue space; Consider Circular Rooms. Long, rectangular rooms mean that half the audience loses eye contact and good visibility of those on stage. They are either at the back of the room or pushed far out to the sides. With all the distractions between their table and the stage, they'll naturally take the easier option and begin chatting, regardless of the skill and expertise of those upfront. Circular rooms lend themselves to a better layout, with the opportunity to position your tables in a semi-circle facing the stage. Every audience member, will then have a healthy view of those on stage and engage more fully. If a circular room isn't an option, then consider a live camera feed. It's still not quite the same, but it will keep your guests at the back, engaged for longer than if without. How to Make a Gig Happen: The Hidden Challenges of Event Management As an event organizer with years of experience in private, public, and cultural events, I’ve learned that the behind-the-scenes responsibilities of pulling off a successful gig are often overlooked. My name is Kevin Lehning, I’m 33 years old, and I’ve spent much of my career navigating the complexities of event management. What many people, including band members, may not realize is just how much mental and emotional load the band leader carries. We’re responsible for the logistics, the smooth running of the event, and the satisfaction of everyone involved—from the musicians to the audience, to the production team. Let me share a recent experience. I was working with a production company to organize a gig for 350 people. Despite my efforts to help them secure the best sound setup within a reasonable budget, they locked in a budget that was far too low. On the morning of the gig, with only two hours of sleep and while traveling by train, I got a call informing me that the sound setup I had carefully planned was now in jeopardy. They downplayed the importance of proper sound for the event, leaving me to scramble and fix the situation. In a matter of hours, I managed to arrange for a sound engineer, secure the necessary equipment, and coordinate logistics—all while ensuring the budget wasn’t blown. Thanks to some incredible friends who came through with last-minute support, we were able to pull off the event smoothly. But it was a reminder of how much pressure falls on the shoulders of one person when others don’t fully grasp the scope of what’s needed. Moving forward, I’ve decided to be more selective with my collaborations. I’ll work with those who truly understand and respect the demands of event management—those who are committed, hardworking, and won’t leave me to handle everything alone. Event management is not just about showing up and playing music; it’s about the countless decisions and the immense responsibility that falls on the band leader. Impact of Venue Selection Goes Wrong- Part II Looking at an event venue selections goes wrong as an event planner from an event i attended as a guest about two months ago, i wish to share my overall feedback on it as an expert. it can disrupted the entire event and cause a range of issues that affect both the celebrant and attendees. Here’s a breakdown of it's root cause and the impact it can had: Location and Accessibility Problems: Difficult to Access: If the venue is hard to reach or lacks parking and transportation options, it can lead to late arrivals, decreased attendance, and frustrated guests. Accessibility for People with Disabilities: Failing to ensure that the venue is accessible for all attendees, including those with mobility challenges, can exclude certain guests and lead to dissatisfaction. Weather-Related Issues (for Outdoor Venues): Lack of Backup Plans: If an outdoor venue doesn’t have a proper contingency plan for bad weather (such as rain or extreme heat), it can result in a canceled or poorly executed event. Uncomfortable Conditions: Extreme weather can affect the comfort of guests, especially if there aren’t proper provisions like tents, heaters, or fans. Legal and Compliance Issues: Permits and Regulations: If the venue fails to meet local regulations or requires special permits (noise ordinances, alcohol licenses) that weren’t obtained, it could lead to fines, event shutdowns, or other legal consequences. Safety Violations: A venue with safety hazards (blocked exits, insufficient emergency services) can put guests at risk and lead to serious accidents or liabilities. Conclusively, it is a great deal to have a venue selection checklist which can be done by us seamlessly for you on your next upcoming event.

I find it quite interesting when a client contacts my company for resources, and say; “I don’t need a planner/coordinator!” More times than often something doesn’t go according to plan, the intricate details become overwhelming & usually overlooked..trust me I’ve seen it! I stumbled upon this article. So, if you’re considering the attempt to plan your own event; this article will be an excellent read shedding light why hiring an event professional is necessary. The event industry is not just resources, glamor, and phone calls…it’s labor intensive work that requires many skillsets sadly not many possess.
