Here are a few Friday #copyediting tips that can make a big difference in refining a piece of #writing: 1. Focus on the Rhythm of Sentences: A sentence may be grammatically correct but still feel awkward. Read the text out loud to catch issues with rhythm and flow. Good writing has a natural cadence. 2. Watch for Repeated Words and Phrases: It's easy to overuse certain words, especially in long documents. Use the "Find" function in your document to highlight repeated words and offer better alternatives or opportunities to rephrase. 3. Check for Consistency: Make sure that terminology, spelling, capitalization, and hyphenation are consistent throughout. For example, if you decide to hyphenate "email," don’t switch to "e-mail" halfway through the document. 4. Fact-Check Names, Numbers, and Dates: It's easy to overlook small factual errors when focusing on grammar and style. Double-check the spelling of proper names, verify dates, and ensure numbers are accurate. Even minor mistakes can hurt the credibility of a piece. 5. Avoid Over-Editing: When making corrections, resist the urge to change every stylistic choice. Know the difference between something that’s technically incorrect and something that’s just a matter of personal preference. 6. Watch for Subject-Verb Agreement in Complex Sentences: When sentences get long or involve multiple clauses, it’s easy to lose track of subject-verb agreement. Take a moment to double-check every verb's subject. 7. Maintain the Author's Voice: Good copyediting doesn’t impose the editor’s style on the writer. Work to preserve the author's unique tone and voice while ensuring clarity and correctness. Spot the difference: what's the difference between copy editing and proofreading? Proofreading is likely something you've encountered in an academic or professional setting. It means reading through the copy, checking for errors in grammar or spelling, making sure there are no omissions, and so on. Think of it as a spring clean – a dusting of surfaces to make sure the copy is presentable. Copy editing, however, is a different task. It means cracking out the industrial vacuum cleaner, possibly even knocking in a few interior walls and re-upholstering the furniture. Copy editing involves obtaining both the copy brief and (ideally) campaign or design brief from the client. Paragraph by paragraph, we go through the copy, restructuring and in some cases rewriting the text in order to convey the client's precise intention. While this doesn't always involve an entire rewrite, our goal is always to enhance the communication so it impacts the target audience exactly as intended. Clients don't always distinguish between proofreading and copy editing – often a non-native client will ask us to "proofread" copy they have written themselves, where in fact the copy needs substantial editing. At the end of the day, it boils down to a simple equation: how much value we add. #proofreading #copyediting #value #communicationstrategy
