Build Out Your Documentation System in 5 Steps

You need a documentation system before placing your processes in software (ideally).

If you need to get into the documentation habit, here are some tips on how to start:

1) Set Goals- Start with the Year then break them into digestible chunks. I like doing everything by quarter. Then month by month.

Try to keep it to no more than 2 main objectives per month that fall in line with the quarterly goal. This allows you to create better day-to-day tasks that aren't overwhelming and still allow for work to be completed.

2) Create a Process- How are you achieving your micro goal? Don't give yourself too many steps here.

There will be multiple steps per goal and you will need to design the step-by-step actions for each.

3) Implement- Find the necessary tools to help support the journey. Once you've come up with the step-by-step actions you'll need to complete, see what kind of tools you can find to speed up the processes you've created.

You should implement based on your current level. This means if Technology "scares" you, stick to what you feel comfortable with in the beginning and/or find some "beginner-friendly" tools that allow you to automate pieces of your processes until you're comfortable with implementing more. - A quick thank you to Renee Simpson - Automation Queen, for bringing this up. 4) Execute and Measure (KPIs)- Execution means you saw the process all the way through and can get feedback. You can't build out SOPs until this happens. Otherwise, you're passing along an organized "to-do" list.

5) Keep it updated!

Implement these 5 steps into your tasks list and I promise you will see an improvement in your Operations.
