How to Make a Gig Happen: The Hidden Challenges of Event Management As an event organizer with years of experience in private, public, and cultural events, I’ve learned that the behind-the-scenes responsibilities of pulling off a successful gig are often overlooked. My name is Kevin Lehning, I’m 33 years old, and I’ve spent much of my career navigating the complexities of event management. What many people, including band members, may not realize is just how much mental and emotional load the band leader carries. We’re responsible for the logistics, the smooth running of the event, and the satisfaction of everyone involved—from the musicians to the audience, to the production team. Let me share a recent experience. I was working with a production company to organize a gig for 350 people. Despite my efforts to help them secure the best sound setup within a reasonable budget, they locked in a budget that was far too low. On the morning of the gig, with only two hours of sleep and while traveling by train, I got a call informing me that the sound setup I had carefully planned was now in jeopardy. They downplayed the importance of proper sound for the event, leaving me to scramble and fix the situation. In a matter of hours, I managed to arrange for a sound engineer, secure the necessary equipment, and coordinate logistics—all while ensuring the budget wasn’t blown. Thanks to some incredible friends who came through with last-minute support, we were able to pull off the event smoothly. But it was a reminder of how much pressure falls on the shoulders of one person when others don’t fully grasp the scope of what’s needed. Moving forward, I’ve decided to be more selective with my collaborations. I’ll work with those who truly understand and respect the demands of event management—those who are committed, hardworking, and won’t leave me to handle everything alone. Event management is not just about showing up and playing music; it’s about the countless decisions and the immense responsibility that falls on the band leader. Let’s understand how 👇 Roles of an event planner : → Deciding the event’s theme and decor → Finding and booking a venue → Curating the menu and booking a caterer → Managing logistics for attendees, etc. Roles of an event manager : → Marketing the event for promotion → Creating contingency plans for unexpected or last-minute issues → Overseeing employees responsible for varied parts of the event management process → Attending the event to ensure it runs smoothly, etc. While some roles may overlap, they are distinct inside-out.
